The Value of USPS Secure Destruction: Protecting Privacy and Promoting Efficiency

For financial, healthcare, insurance, and other compliance-driven mailers, safeguarding customer data is not just a priority; it’s a regulatory requirement. The United States Postal Service’s Secure Destruction program provides a reliable and secure solution for handling undeliverable First-Class Mail that contains sensitive personal information. Instead of a protracted process to return mail pieces that cannot be delivered, the USPS will provide timely information about the pieces electronically and destroy them through a secure, automated process that protects consumer privacy and meets federal compliance standards.

This is particularly critical for financial institutions and organizations handling compliance mail. Undeliverable items such as account statements, tax documents, or healthcare communications often include personal identifiable information (PII) or protected health information (PHI). Allowing these documents to re-enter the mailstream unnecessarily increases the risk of data exposure. USPS Secure Destruction eliminates this vulnerability by ensuring such mail never leaves the Postal Service’s custody and is shredded in compliance with strict protocols, including those outlined by HIPAA, GLBA, and other data privacy regulations.

Beyond privacy, the program also offers quantifiable operational and environmental benefits. Secure Destruction helps reduce mailers’ costs associated with handling, processing, and secure disposal. It also minimizes fuel usage and waste by removing the need to physically return undeliverable mail pieces, supporting organizations’ sustainability goals without sacrificing compliance.

Secure Destruction saves the Postal Service over $0.47 per piece in additional handling costs; Postal Service savings IS also savings for mailers as it helps their bottom-line financial stability.

Per the USPS Office of Inspector General the potential savings are in the tens of millions of dollars, for example:

  • If 50 million pieces of undeliverable mail are diverted annually through SD, USPS could save about $23.5 million per year (50 million x $0.47)

And this is why the USPS offers the Secure Destruction service to mailers for FREE!

Secure Destruction eliminates the burden of opening, logging, sorting, and shredding mail pieces for compliance.

  • Mailers report internal processing cost savings of $0.50 to $1.00 per returned mail piece.
  • Additionally, knowing about undeliverable mail pieces earlier allows for initiating corrective actions sooner, preventing the wasted production of additional undeliverable pieces and enabling reestablishment of contact sooner.

Ultimately, USPS Secure Destruction offers a smart, secure, and sustainable alternative to traditional mail returns. For organizations that value privacy, efficiency, and environmental responsibility, it’s a forward-thinking solution that aligns with modern operational needs and consumer expectations.
