Search for a new Postmaster General (PMG) – could the wait be over?

This is the first National Postal Forum in my recollection in which we did not have a permanent Postmaster General (PMG) in office.  There have been transitional periods in USPS leadership – such as when acting PMG is in place due to retirement, resignation, or before a successor is officially named, but historically that replacement has been named prior to the NPF.

Fighting Fraudsters with Address Verification & Change-of-Address (COA) Monitoring

Fraudsters are always looking for weaknesses in business operations, and one of their most effective tactics is exploiting address changes to intercept sensitive mail. From financial statements and invoices to checks and credit cards, criminals manipulate the mail system to divert documents and commit fraud. Without a robust address verification and Change-of-Address (COA) monitoring system, businesses are left vulnerable to financial loss, identity theft, and compliance violations.

GrayHair Software (GHS) helps businesses take control by continuously validating addresses against USPS databases. This prevents fraud by ensuring mail reaches the intended recipient. By monitoring COA data, companies can identify unauthorized address redirections and detect suspicious activity before it causes financial or reputational damage.

The Risks of Unverified Addresses in Fraud Schemes

Address fraud can take many forms, but the most common schemes include:

  • Unauthorized Address Changes – Criminals submit fraudulent change-of-address requests to reroute mail to a location they control, gaining access to checks, financial documents, or personal data.
  • Synthetic Identity Fraud – Fraudsters create fake identities using fabricated addresses, allowing them to open fraudulent accounts and conduct financial crimes.
  • Business Identity Theft – Scammers impersonate legitimate businesses, change addresses to intercept invoices or payments, and steal funds.
  • Account Takeover Fraud – Fraudsters modify a customer’s mailing address to gain control of their account and conduct unauthorized transactions.

A single undetected fraudulent address change can result in severe financial losses, regulatory penalties, and irreparable harm to customer trust. Businesses cannot afford to ignore this risk.

How GHS Helps Businesses Prevent Address Fraud

GHS provides a multi-layered defense against address-related fraud, ensuring that businesses maintain control over their mail security.

1. Real-Time Address Verification Against USPS Databases

With GHS’s address validation technology, every mailing address is verified against USPS databases before mail is sent. This prevents fraudsters from using invalid, synthetic, or manipulated addresses to receive critical mail.

2. Continuous COA Monitoring to Detect Unauthorized Redirections

GHS continuously monitors Change-of-Address (COA) requests, helping businesses detect and prevent unauthorized mail diversions. If an address change is flagged as suspicious—such as a sudden redirection to a high-risk location—the system alerts the business in real-time, allowing them to investigate and take corrective action.

3. Identifying Suspicious Patterns in Address Changes

By analyzing address trends, GHS detects irregular COA requests, such as multiple changes associated with a single individual or frequent address modifications linked to fraud-prone regions. This allows businesses to act before fraud occurs, rather than after damage is done.

4. Secure Audit Trails for Compliance and Investigation

When fraud occurs, businesses need proof of address history and validation efforts to support investigations and legal actions. GHS provides a comprehensive audit trail, ensuring companies have documented evidence of address verification, change tracking, and fraud detection efforts.

Taking Control: Eliminating Address Fraud Before It Happens

Without address verification and COA monitoring, businesses are left vulnerable to fraudsters who exploit weaknesses in mail security. By implementing GHS’s fraud prevention solutions, companies can:

  • Stop unauthorized address changes before they lead to financial loss
  • Ensure mail is delivered to the correct recipient with real-time verification
  • Detect and investigate fraudulent COA requests before they cause harm
  • Protect customers, employees, and business partners from address fraud schemes
  • Stay compliant with regulatory requirements regarding secure mail handling

Address control is the first step in fraud prevention. By securing the mailing process with GHS’s advanced verification and monitoring technology, businesses can prevent fraud before it happens rather than dealing with costly consequences after the fact.
