Search for a new Postmaster General (PMG) – could the wait be over?

This is the first National Postal Forum in my recollection in which we did not have a permanent Postmaster General (PMG) in office.  There have been transitional periods in USPS leadership – such as when acting PMG is in place due to retirement, resignation, or before a successor is officially named, but historically that replacement has been named prior to the NPF.

Last week concluded a very successful National Postal Forum in Nashville, TN. GrayHair participated in six sessions at the forum on topics of Address Quality, Hot topics in Mail, Bridging the Gender Gap with leadership tips, and working with Postal and Client Data at Scale.

Using Mail Tracking & Informed Visibility® for Fraud Prevention

Criminals constantly find new ways to intercept or manipulate mail, leading to identity theft, financial fraud, and compliance violations. The key to stopping fraud before it happens? Real-time mail tracking and visibility.

GrayHair Software leverages Intelligent Mail Barcode(TM) (IMb) tracking and USPS Informed Visibility® data to monitor mail movement in near real-time, providing businesses with a critical fraud prevention tool. By closely tracking mail from the moment it enters the postal system to final delivery, companies can detect irregularities, unauthorized diversions, or suspicious delays that may indicate mail tampering, theft, or fraud.

The Hidden Risks of Unmonitored Mail

Every day, businesses send out thousands of critical documents—such as invoices, checks, legal notices, and financial statements—without a comprehensive tracking system in place. When mail goes missing, arrives late, or gets rerouted, the consequences can be severe:

  • Stolen financial data – Fraudsters may intercept checks or sensitive account information.
  • Identity theft – Unauthorized individuals can steal personal details and commit fraud.
  • Regulatory compliance risks – Missing or delayed mail can put businesses at risk of legal non-compliance.
  • Customer trust issues – Delays or lost mail can damage relationships and credibility.

Without real-time tracking and analysis, businesses are left in the dark, unaware of when or how fraud occurs.

How GrayHair Software Detects and Prevents Mail Fraud

Intelligent Mail Barcode (IMb) Tracking – Every mailpiece is assigned a unique barcode that allows businesses to track its movement through the postal system. If an anomaly occurs—such as unexpected delays or reroutes—GrayHair Software (GHS) flags the issue, allowing companies to investigate potential fraud immediately.

Informed Visibility Mail Tracking & Reporting (IV®-MTR)

Informed Visibility® (IV®) Data for Real-Time Alerts – The USPS Informed Visibility® (IV®) system provides businesses with near real-time tracking updates. GHS integrates this data with its fraud detection tools, enabling organizations to receive alerts about suspicious changes in delivery routes or unanticipated mail holds.

Analyzing Patterns to Identify Fraud Risks – By continuously analyzing mail delivery trends, GHS helps businesses spot patterns that may indicate fraud. For example, repeated delays in specific regions or unauthorized mail diversions can signal an emerging threat.

Audit Trails for Compliance & Investigations – If fraud occurs, businesses need proof of mail movement to investigate and take action. GHS provides a digital audit trail, ensuring that organizations have access to timestamps, tracking history, and potential fraud indicators.
