Search for a new Postmaster General (PMG) – could the wait be over?

This is the first National Postal Forum in my recollection in which we did not have a permanent Postmaster General (PMG) in office.  There have been transitional periods in USPS leadership – such as when acting PMG is in place due to retirement, resignation, or before a successor is officially named, but historically that replacement has been named prior to the NPF.

Preventing the Consequences of Undeliverable Financial Statements, Compliance Notices, and Renewals

EXECUTIVE SUMMARY

There are significant direct and indirect costs when critical mail (financial statements, compliance notices, checks, credit cards, or renewal reminders) doesn’t reach the intended recipients. These communication failures extend far beyond mere inconvenience, impacting financial stability, customer trust, legal standing, and brand reputation.

This article explores the financial, customer experience, and compliance impact of failed communication and how GrayHair Software helps businesses minimize these costs.

THE PROBLEM: FAILED COMMUNICATION

The implicit assumption that mail will always reach its destination is incorrect and costly.

Failed communication is not just an operational issue; it’s a strategic business risk that requires proactive management.

A failed communication occurs when a mail piece does not reach the intended recipient in a timely manner or at all. This can be due to incorrect addresses, outdated information, or unforeseen delivery issues.

What happens when a critical piece of mail – a financial statement, a compliance notice, or a renewal reminder – is undeliverable and never arrives? This “failed communication” triggers a cascade of negative consequences.

FINANCIAL COSTS OF FAILED COMMUNICATION

Failed communication carries significant direct costs:

  • Wasted Postage and Production Costs: Each undeliverable mail piece represents wasted resources.
  • Operational Inefficiencies: Correcting and resending mail adds to operational expenses.
  • Call Center Inquiries: Customers calling about missing mail increase call center volume and costs.

Failed communication also creates legal risk:

  • Missed Regulatory Notices: Failure to deliver compliance information can result in fines and audits.
  • Industry-Specific Mandates: Industries like finance and healthcare have stringent communication requirements, and failing to meet these can lead to penalties.
  • Legal Action: Incorrect or undelivered legal notices can lead to lawsuits.

When critical mail fails to arrive, customer trust and satisfaction also erode:

  • Eroded Trust: Missing essential documents damages the customer relationship.
  • Payment Delays and Churn: Undelivered bills or renewal notices can lead to late payments and customer loss.
  • Service Interruptions: Missing credit cards or other critical items disrupt service and inconvenience customers.

A pattern of failed communications can severely damage brand reputation:

  • Service Disruptions: Errors in mail delivery can disrupt services and frustrate customers.
  • Public Complaints: Failed communications can lead to negative reviews and public complaints.
  • Loss of Credibility: Inconsistent or unreliable mail delivery undermines brand trust.

MINIMIZE THE COST OF FAILED COMMUNICATION

GrayHair addresses and reduces failed communication by providing Address Data Quality solutions, products, best practices, and services that ensure data is clean, current, and compliant. Solutions include:

  • Address verification tools: Such as CASS™ (Coding Accuracy Support System), 48-Month NCOALink®, DSF2® (Delivery Sequence File 2), and VerifyAQ™ to ensure addresses meet USPS standards and are accurate.
  • Best practices: Including real-time address verification, just-in-time address processing, database cleansing and updating, and returns (ACS™) management to maintain data integrity and minimize undeliverable mail.
  • Proprietary data: UAD (Universal Address Database) to help correct addresses prior to mailing and reduce returned mail.
  • Mail Tracking solutions: Utilizing IMb (Intelligent Mail Barcode) and Informed Visibility (TM) to provide end-to-end visibility of mail delivery and identify potential issues.
  • ACS™ (Address Change Service): To receive automated notifications of post mailing address changes and undeliverable mail pieces, keeping databases current.

These solutions improve mail deliverability rates, reduce costs associated with returned or undeliverable mail, enhance customer experience, and minimize failed communications by reaching the intended recipient with the appropriate message.
